Material + Labor Math

Calculate interior rooms and exterior areas in one system

Quote painter-specific labor, materials, prep, and access adjustments without forcing real estimates through spreadsheets or a generic calculator.

Interior Rooms
  • Room-by-room walkthroughs with measurements you can quote from immediately
  • Walls, ceilings, trim, doors, cabinets, stairs, and floors in one estimate
  • Extras, exclusions, and irregular wall segments for real-world layouts
  • Prep-aware calculations for masking, patching, and light commercial interiors
Exterior Areas
  • Elevations with length, width, stories, doors, and garage doors
  • Height/access multipliers and equipment planning for tougher exterior work
  • Power washing, scraping, lead-safe prep, and other surface prep
  • Coverage-based gallons and labor math for homes, storefronts, and facades
How it works

From walkthrough to estimate, project, and payment

See how a painting job moves from on-site scope capture to a professional estimate, a crew-ready project, and customer payment without re-entering the sold scope.

1. Walk the job
Capture measurements, choose what gets painted, and let PriceTable calculate gallons, labor hours, and prep from the same walkthrough your office will price and run later.
2. Generate the estimate
Turn the walkthrough into a polished estimate in one click. Labor and materials stay itemized and priced, ready to present on-site or send later by email or SMS.
3. Order materials and schedule work
After the customer says yes, download a purchase list with optimized container sizes and move the same sold scope into scheduling instead of rebuilding the job.
4. Convert to a project
Convert the accepted estimate into a live project with rooms, surfaces, paint specs, notes, and deposit context carried forward. Then schedule visits, prepare work orders, and track job costing from the same job record.
5. Bill and get paid
Bill from the project's live authorized balance instead of rebuilding invoice math. Deposit credits, prior billing, approved change-order work, and online payments stay tied to the job so customers can pay online and the office always knows what is still billable.
Estimate Math

Painter-specific quote math you can trust

PriceTable calculates gallons, labor hours, prep, and access costs from the same scope your team actually sells and runs. No hand math or spreadsheet patchwork.

Coverage-based gallons
Material quantities adjust by substrate, product, and application method so orders and quote totals hold up in the field.
Production-rate labor hours
Labor is calculated by surface, method, and complexity instead of guessed from rule-of-thumb numbers.
Prep, extras, and exclusions
Closets, stairwells, window and door exclusions, and similar scope details stay in the math so small misses do not eat margin.
Height, access, and equipment
Stories, lift needs, and access difficulty are priced before the quote goes out, so exterior work is scoped realistically.
Job costing

Know your margins before you quote — and track them through the job

See whether the job is still on plan while there is still time to fix it. PriceTable carries the sold baseline into the project so labor, spend, and gross margin stay visible as the work unfolds.

Profit before you send
See material margin, labor margin, and projected profit before the estimate goes out so you know which jobs are priced to make money.
Actual vs sold labor
Track actual crew hours against the sold labor baseline and spot "On track," "Over plan," or "At risk" jobs while there is still time to adjust.
Track job spend
Track material and other project spend in one place, with optional visit-level links when you need tighter cost visibility.
Margin risk alerts
Compare planned gross profit against actual project spend in real time and get warned before margin drift turns into a surprise.
After the sale

No re-entry after the customer says yes

The sold scope becomes the project, visit plan, work orders, change orders, and billing record instead of getting rebuilt after the sale.

01

Turn the estimate into a project

Accepted work becomes a live painting project instead of getting rebuilt by hand.

  • One-click project conversion carries the sold scope into a project with a budget baseline and optional starter visits.
  • Scope tab by room keeps surfaces, prep tasks, colors, specs, photos, and notes organized the way painters run jobs.
  • Accepted deposits and sold scope stay attached from estimate to project.
02

Run the work from sold scope

Schedule the job, hand crews clear instructions, and keep scope changes controlled in the same system.

  • Capacity-aware visit planner assigns rooms or partial rooms based on crew size and scheduled duration.
  • Crew work orders show only the assigned scope, quantities, photos, and notes on paper or on a phone.
  • Calculator-backed change orders let you add mid-job scope without rewriting the original sold baseline.
03

Bill from the live job

Billing stays tied to the project, so the office can see what has been billed, what was paid, and what is still billable.

  • Project billing summary shows authorized value, invoices sent, payments collected, deposit credits, and remaining billable.
  • Reminder-guided invoicing helps create deposit, progress, final, and change-order invoices at the right time.
  • Customers can pay online while the office still sees the live billing picture.

Frequently Asked Questions

For questions about PriceTable’s painting features, contact us — we’re happy to help.

How quickly can I produce a quote?

With Site Walkthroughs and our Paint & Prep Calculator, most painters can go from a walkthrough to a draft estimate in minutes. Capture rooms/areas on‑site, click Create Estimate, and review the per‑room sections immediately on the created estimate.

Does it handle interior, exterior, ceilings, trim, doors, and prep?

Yes. The calculator supports interior and exterior projects, vaulted/cathedral ceilings, exclusions, and first‑class toggles for ceilings/trim/doors. Prep work (masking, patching, caulking, power washing, scraping, lead‑safe) is included with production‑aware costing.

How accurate are the numbers?

Materials are based on coverage by substrate and method, with adjustable waste factor and container strategies. Labor uses production rates plus setup/cleanup and height/access multipliers. You can tune defaults in Painting Settings to match your crew.

Can I use my preferred brand and sheen?

Yes. Choose brand/sheen preferences and defaults; the purchase list notes brand/sheen and aggregates quantities by container size. Vendor SKU mapping is planned as an optional layer for supplier‑ready POs.

Do you generate a purchase list?

Yes. After you create an estimate, download a job‑wide Purchase List (PDF/CSV). We aggregate materials across rooms by canonical product (brand/line/sheen) and container size so the paint store can fill the order quickly.

Can I save and reuse Site Walkthroughs?

Yes. Walkthroughs are saved as drafts tied to customers and properties. You can resume on desktop, create multiple estimates from one walkthrough, and keep an audit trail of assumptions.

Does it support commercial and light commercial projects?

Yes. PriceTable handles office suites, corridors, lobbies, apartment turns, retail storefronts, and low‑rise exterior facades alongside residential rooms. You can set a job as Residential or Commercial when starting a walkthrough, and the calculator adjusts room types, surface defaults, and estimate presentation accordingly.

Does it work on mobile?

Yes. Capture Site Walkthroughs on any modern phone or tablet. The layout is thumb‑friendly, autosaves, and you can finish estimates on desktop later.

What about scheduling, invoicing, and payments?

PriceTable includes the rest of the workflow: Requests and scheduling, projects and visits, painter-specific billing, invoices, and online payments via Stripe. Painting projects can bill from live authorized value with deposit credits, progress and final invoices, approved change-order billing, and reminder-guided follow-up. If you want the fuller walkthrough, see the Send Invoices and Get Paid Faster guide.

What happens after the customer accepts the estimate?

A single click converts the accepted estimate into a project. PriceTable preserves every room, surface, color, and prep task from the walkthrough, creates a budget baseline, carries accepted estimate deposits into the project as credits, and lets you choose whether to schedule visits immediately or later. The project is ready for crew assignment, billing, and job costing without re-entering anything. For the full operational flow, see the Painting Project Management Guide.

Can my crew see what to paint each day?

Yes. Use the Visit Planner to assign rooms to each visit, then open the visit's Work Order. Crews see only the scope assigned to that day: rooms, surfaces, paint specs, prep tasks, photos, and notes. Work orders are printable and mobile-friendly.

How do I track whether a painting job is on budget?

The painting project overview shows actual labor hours and expenses against the sold baseline. You'll see status indicators like "On track" or "Over plan," plus gross margin comparison. Expenses can be categorized as material or other, and optionally linked to specific visits.
